Improved PATOffice comment functions

Pinning and coloring

What's new?

Comments in PATOffice got an upgrade! From now on, you can categorize comments with colors to better prioritize them. In addition, the new pin function ensures that important comments are always displayed at the top — perfect for an overview!

Why is that important?

Color coding and pinning make it easier to quickly identify relevant information and stay focused. This saves time and helps you not miss anything important. More exciting features are coming soon!

Now available: New AI prompts

What's new?

Our plan to develop efficient AI prompts from personal use cases is gaining momentum. Three new AI prompts have already made it into our Patent Detail View.

Patent Description: Summary with Focus on Technical Aspects

The edition provides a brief description of the technical field, followed by an approximately 250 word summary of the invention with a focus on the technical aspects.

Patent Claims: Easy Claims

The edition is a reformulation of the individual claims in easy-to-understand language.

Patent Claims: Classification of Characteristics through Claim Formatting

The output lists the claims and visually separates the feature and characterization parts of each claim from one vein to make reading easier. The content of the claims will not be changed.

Why is that important?

These new AI prompts are important because they significantly speed up the workflow and make research easier.

They help to find targeted information more quickly by being tailored to individual use cases. This saves time, increases efficiency and enables users to gain more precise insights into patent details.

New AI output languages

What's new?

Due to high demand, we are adding more language options to our AI in PatOffice.

This makes it easier to work with colleagues who speak other languages. Simply go to your settings and select the desired Gen AI output language.

All AI editions, including patent translations, are then displayed in the selected language.

Why is that important?

It makes collaboration with international colleagues easier and overcomes language barriers.

This means that all team members can effectively work on patents, regardless of their native language. In addition, working with patent documents is faster and more efficient thanks to direct translations.

User Management 3.0

What's new?

We have updated the user management in PATOffice. Administrators can add new users (with the appropriate license) and assign standard roles such as:

• Admin
• Limited Admin
• Power Users
• User
• Viewer

For custom roles or permissions, just contact us—we can handle almost any request.

What's new?

PATOffice is now like Asana and allows users to send review requests to colleagues, set due dates, and receive reminders. The overview page becomes a central work console where everyone can see their tasks. Completed reviews are automatically closed and can be reassigned, moving projects forward smoothly and keeping administrators informed.

Why is it important?

We wanted to significantly simplify task management in PATOffice. You can quickly send review requests to your colleagues, set due dates, and receive reminders, so nothing falls through the cracks. This keeps everyone informed and organized, which ensures a smooth project flow and keeps you up to date with your team's progress.

Family members are now even easier to find

What's new?

The PATOffice search and research have been updated. There is now a new view to make all family members visible with one click. Family members who have not yet been saved can also be displayed and added directly. You can also specify which parent document should be selected as the oldest or most recent document.

Why is it important?

With this update, we make it easier for you to find and manage documents. With just one click, you can access all family members' documents, even those that haven't been saved yet, saving you time and keeping everything organized.

Large number of patent number import is now available for PATOffice with saving option in personal database

What is new?

It is now possible to import a large number of patent numbers using a new bulk import assistant integrated to our research functionality. With this you can search a list of numbers at once and then save them from there in a workspace of your personal PATOffice database.

Why is it important?

Import patent numbers in bulk. It is super easy and absolutely intuitive for you to carry out.

Validation of patent numbers on the fly

What is new?

The new bulk import assistant supports validation of all entered numbers. This helps dramatically to identify numbers, that in case are not valid and may need to be excluded/examined before proceeding to add/import all valid numbers.

Why is it important?

Having patent numbers proofed automatically before trying to import them saves tedious work to identify non-valid numbers.

Patent number formatting

What is new?

There are many different formatting used in publication numbers across different sources, e.g. conventions with or without space(s) between country code and number. We try to cope with all these different conventions that are know to us and normalize them to one standard that then is used throughout our whole platform.

Why is it important?

Number formatting to one standard is a non-trivial task and with this functionality we bundle our knowledge at a central place to facilitate handling of input data with different conventions to a maximum.

New Filter Options

What is new?

We have added more fields to our PATOffice search to filter the results. From now on, the following fields can be searched for in the PATOffice search and these fields can also be made visible as columns.

Why is it important?

PATOffice is designed to help you pinpoint specific patents more accurately and customize your search results to meet your specific needs and interests.

Introducing AI analysis of patent drawings

What is new?

Our Gen AI is now equipped with more advanced features to provide you brief summary of all drawings in a patent specification. In case you need a deeper analysis, you can use the AI prompt to extract information of individual elements.

Why is it important?

The AI analysis simplifies information to help you improve productivity, identify any potential infringements beforehand and move faster with your patent workflow.

Intuitive Search and Research function

What is new?

With all the latest improvements in the software, we have eliminated the slight differences between search and research function while retaining the improvements in the individual areas.

Why is it important?

We decided to optimize user-friendliness. For example, you can now duplicate fields in the PATOffice search, include or exclude them, save searches to reuse them later or hide fields.

In-app notifications are now available

What is new?

A bell icon for latest notifications is now available in the PATOffice app, where  you can access various functions directly in the notification menu. The notifications are set to “off” by default for you to decide whether you want to receive email or in-app notifications.

Why is it important?

You get real-time updates of the tasks and changes that take place in your workspace, giving you the flexibility to customize alerts as per your preference.

Automations and corresponding rules now made easier

What is new?

The program has been updated to make it easier for users to create custom rules for finding patents. These rules can be used to filter and organize patents based on specific criteria. You can create these rules yourself, combine them into sequences and now also modify them more easily at a later date.

Why is it important?

This improvement allows you to more efficiently find and analyze patents that are relevant to you. It also gives you greater control over your patent search process.

Improvement of date selection function

What is new?

The "date picker" now has pre-set options for common time periods like this month or the last quarter. You can also choose specific weeks by clicking on their numbers on the calendar.

Why is it important?

It saves time and allows you to focus on search without having to manually enter dates.

Export of AI summaries in PDF and CSV

What is new?

PATOffice AI summaries can now be generated not only for individual documents, but also for multiple files at once. These can then be exported easily in PDF or CSV formats.

Why is it important?

Single document or multiple, you can share the summaries with your team and colleagues who don’t have access to your PATOffice workspace. Simply put, it makes knowledge transfer among teams easier and faster.

Compare2docs: AI-supported document comparison

What is new?

You can compare descriptions, abstracts and claims and have their exact differences displayed, with the AI summarizing the top differences and similarities. Findings from this can simply be saved as a comment on the documents in the appropriate workspace.

Why is it important?

The introduction of the new AI function skips the laborious tasks for you. With just one click and a few seconds, the comparison summaries are displayed instantly.

Selection of individual documents

What is new?

We have now also integrated the option to select individual documents in the search function. This enables even more individualized work with documents in PATOffice and even more targeted filing, exporting, tagging, etc.

Why is it important?

We want to provide you with more control over your tasks in PATOffice, hence this feature focuses on improving the overall user experience for you.

Extension of family tracking

What is new?

Previously, our family tracking feature only followed families based on a single original patent. Now, we've expanded it to include families with multiple original patents that share a similar technical subject.

Why is it important?

You gain a more complete understanding of related patents, helping you identify potential competitors, collaborators, and licensing opportunities as well as conducting more in-depth research, uncovering hidden connections, and making more informed decisions about your patent strategy.

Extended table configuration

What is new?

You can now see extended families and tracking events in your hit lists and column settings. This makes it easy to view tracking events at a glance. Plus, you can search for specific tracking events by font or time period.

Why is it important?

It gives you more control over your results where you can quickly identify important information without having to navigate to separate sections.

Customized table views

What is new?

We've made it easier for you to customize the tables you see in our search results. Now, you can quickly rearrange columns, hide ones you don't need, and sort them in the way that makes most sense to you.

Why is it important?

The revised table settings gives you more control over how you view and analyze patent data making your search more effective and efficient.

Expanded tracking function

What is new?

Along the older functions, you can now track the changes in legal statuses. All trackings now have a common log that keeps track of which activities occurred and who took note of them and when. Trackings are no longer created personally, but collectively for the group of admins.

Why is it important?

With such expansion of the tracking function, it is easier to keep track of everything, avoid duplication of work and still ensure that nothing is missed.

PATOffice exports are now running in the background

What is new?

While you are working with the PAToffice software, you can let the exports run in the background. You can also export the files either as PDF or CSV and download them as you wish.

Why is that important?

We are aware that our users primarily want to save time. That's why this feature allows you to store, share, analyze, and integrate your data, making it more accessible and versatile.

Personal message for PDF dispatch

What is new?

To make the context of a forwarded PDF file more detailed for the recipient, it is now possible to add a personal message.

Why is that important?

It gives the conversation a personal touch, clarifies questions, removes the risk of misunderstandings and can build relationships.

Full name for the comment function

What is new?

The reviewer/user's full name is now visible in the comments section.

Why is that important?

Using full names instead of initials makes it easier to avoid confusion.

Implementation of individual AI requests

What is new?

It is now possible to add your desired AI-supported function to the PatOffice AI-Prompt library.

Why is that important?

As we continue to expand PATOffice gen's AI capabilities, improving and adding AI features helps users navigate their processes and make tasks easier.

Transparent and accessible monitoring profiles

What is new?

You can now directly access and manage the settings for your monitoring profiles within your PATOffice instance. These monitoring profiles use specific search criteria to identify relevant documents, which you can also explore using our search feature to refine your results.

Why is it important?

We strive to offer PATOffice users more transparency and direct access.

Sending external PDFs via email is now possible

What is new?

You can now email patent PDFs to internal and external colleagues. The recipient receives a direct link to the PDF link in the standardized email.

Why is it important?

Sharing and collaboration are important for the innovation process to work. Even if your colleagues or external stakeholders do not have access to PATOffice, you can exchange important information easily and flexibly.

Integration of Tooltips

What is new?

We have added brief explanations of functions, buttons and displays so that the user can find their way around PATOffice as quickly and easily as possible. You can currently find these tooltips both in the navigation and in the dashboard and occasionally in the PATOffice search.

Why is that important?

You can use these tooltips to learn more about how PATOffice works without creating confusion and complexity. The easier it is to use, the better you can navigate the software.

Improving AI language output

What is new?

The responses from our AI prompt are displayed in the standard system language. You can switch the language for AI summaries simply by changing the language settings in PATOffice.

Why is that important?

Added flexibility for your preferred language.

The notation of IPC and CPC classes is no longer restricted

What is new?

We've simplified the search for patents with IPC and CPC classes. Previously, you had to use a specific format for these conventions. Now you can use a more general spelling. That means you'll find more results when searching for patents.

Why is that important?

By supporting both common and technical spellings, the search system becomes more comprehensive and user-friendly, allowing you to find the information you need more efficiently.

New intuitive user management system

What is new?

From now on, we have introduced new permissions for the user function with additional details. As an administrator, you can define user roles, statuses, and accesses and even manage them yourself.

Keyboard shortcuts2.0

With improved keyboard shortcuts, you can now always jump from one patent to the previous one, regardless of where the cursor is.

Standard display of archived documents

What is new?

By default, you can find the default fonts in the search, regardless of whether they are archived or unarchived.

We've heard that you don't want us to exclude archival documents from the standard search. That is why we have set up the search system to display all active and archived documents to provide a comprehensive overview and convenience.
